EQUINE ADMINISTRATOR VACANCY
An exciting opportunity for a highly organised, capable and efficient administrator for our growing equine veterinary practice based near Darrington, West Yorkshire. We are a rapidly growing team and our mission is to treat every horse as if it were our own and we take pride in putting our clients and their horses first. Customer care is at the heart of what we do. If you are cheerful, unflappable and able to multi-task with good equine knowledge and highly developed administrative and organisation skills with excellent attention to detail then we would love to hear from you.
Job title: Equine Administrator
Supporting role to the receptionist including answering calls, taking payments and making appointments
Managing the equine insurances claims process
Managing aged debts, chasing payments including by telephone
Liasing with the debt collection services and overseeing county court claims
Inputting invoice details onto our computer system and sending invoices to clients
Generating monthly statements
Monitoring BACS payments
Managing our health plans; enrolling new clients and keeping payment records updated
Managing our interest free loans service
Receiving lab reports and processing on our computer system
Monitoring and responding to practice emails
Overseeing the facebook account and facebook marketing
Managing the holiday and staff sickness records
Using Mailchimp for email marketing
Updating the website
Arranging sympathy flowers for clients following euthanasia
Horse passport applications online
Receiving and recording complaints
Using our computer recall system for vaccination reminders and follow up appointments
Opening and distributing the incoming post
Preparing information for the quarterly VAT return
Organising annual subscriptions and CPD for vets
Performing and typing the minutes of the practice meetings
Generating the business performance reports
Organising sponsorship for local events
Organising client evenings and arranging sponsorship
Managing the work experience diary
End of day reconciliation
Excellent communication skills
Confident on the telephone with a good telephone manner
Knowledge of horses and their husbandry
Extensive IT skills including use of Microsoft word and excel, facebook and internet.
Multi-tasking must come natural to you

Due to our location you will need your own transport and may be required to use it for work related purposes.
Hours Monday - Friday 9.30-6pm, one Saturday morning in four. Consideration would be given to two part time positions (please state on application). Salary commensurate with experience.
