Overview:

Ridings Equine Vets are looking for an equine receptionist to join our growing team based in Darrington, Nr Pontefract, West Yorkshire. We are all horse owners and horse lovers and take pride in putting our clients and their horses first. We want to provide the highest standard of veterinary care for horses and make sure our clients feel we are putting their needs first. 

The receptionist role is one of the most important positions in the practice. You will be the first point of contact for our lovely clients and it is vital that their first impression is a positive one. You will be responsible for the prompt and efficient answering of the telephone for calls and text messages and be in charge of booking diary appointments for all the vets and helping clients with their enquiries.

 

Key responsibilities

  • To ensure the telephone is answered promptly and efficiently
  • Maximising the efficiency of the vets by making diary appointments 
  • Dealing with emergency phone calls
  • Taking payments from clients over the phone and in person
  • Ensuring all visit information is communicated to vets prior to visit (directions, credit status of client)
  • Ensure all appointments are booking according to time and work involved
  • Ensuring all lab reports get booked on the computer and results passed to vets to tell clients
  • Ensuring any messages for vets are passed on and clients are responded to
  • To open and address all incoming mail
  • Manage work experience diary and liaison
  • Sending text reminders to clients the day before their appointment
  • Calling clients for clinical updates 
  • Joining in with veterinary rounds at 8.30am and communicating with the vets
  • Liasing with yard owners ahead of yard visits 
  • Organising the dates and days for future yard visits
  • Organising sympathy flowers/ cards for clients of euthanased animals
  • Liasing with Veterinary Groom regarding in-patients and keeping owners informed
  • Generating prescriptions
  • Generating vaccination and dental reminders
  • Recording client complaints and passing to administrator
  • Recording second opinions requested 
  • Managing client feedback
  • Keep the filing up to date
  • Record daily on spreadsheet number of calls and text messages
  • Record new client statistics- where they found us
  • Monitoring stock levels of stationary
  • To promote the services offered by the practice and maintain high levels of sales
  • Assisiting at client marketing events such as talks and demonstrations
  • To work as part of the practice team
  • Attend and contribute to practice meetings and events

 

 

Key Skills

Excellent telephone manner

Proven experience in a receptionist position or similar role

A-levels or equivalent education

Proficient IT skills including use of Microsoft Office and Microsoft Excel

Solid communication skills both written and verbal

Highly organised with an ability to multi-task and work under pressure

Work to a high standard under your own initiative 

Knowledge of horses and basic horse management

Knowledge of the local area and geography including the ability to read a map

You must hold a full clean driving licence and be prepared to use your car for work related use

 

 

This is a full time position of 42.5 hours per week in addition to a one in four Saturday morning rota, although consideration would be given to two positions of 30 hours per week.

 Competitive Salary Commensurate with experience.
