Job Vacancy - Veterinary Receptionist

We are searching for a highly motivated and enthusiastic individual to join our friendly team as a Veterinary Receptionist on a part time basis working in our fast paced office environment to help facilitate the smooth running of the reception and maintaining our high levels of client service.

Within this role, you will be responsible for being part of the office team to deliver exceptional customer service to our lovely clients. Our clients expect the best and we aim to give them more! Answering the telephone and dealing with clients will be the mainstay of your role in addition to responding to all other methods of client enquiries such as emails, text messages and messages via social media. You will need to deal with a huge variety of client emotions from grief to frustration and will also be responsible for some administrative duties.

You will work closely with the rest of the office team in order to help us ensure our practice is operating efficiently and we are achieving our objective of delivering exceptional veterinary and client care. You will be able to work under your own initiative and capable of meeting deadlines as well as being part of a friendly supportive team.

This post requires an individual with great communication skills, organisation skills, very high attention to detail and previous experience of customer service.

Salary £8.50 – £9.25/hour depending on experience, 22.5 hour week split over Monday – Friday on 8.30am-1pm shifts and 1pm-5.30pm. 1:4 Saturday mornings 9-12pm.

Requirements for the role:

Previous experience in customer service. 

Basic horse care knowledge

GCSE Maths and English Grade C or above

Proficient IT skills including Microsoft word and excel

Proficient in use of the various social media platforms including Facebook, Instagram and Twitter.

UK driving licence and own car which you may be required to use for work purposes from time to time.

Job Responsibilities:

Answering the telephone and booking appointments and dealing with customer enquiries

Monitoring and responding to emails

Arranging sympathy cards and flowers for clients following euthanasia

Handle and resolve customer queries and disputes over invoices

Enrolling new clients on the health plan scheme

Generating and sending customer invoices

Responding to text messages on the office mobile

Dealing with messages on social media platforms

Prepare prescriptions for patients

New client follow up phone calls

Collection of overdue debts by telephone, email and letter

Following up on missed recalls

Sending appointment reminders

Invoicing and uploading lab reports onto client accounts

Organising CPD, travel and accommodation

Recording and dealing with client complaints as per the company policy

Uploading documents to client accounts

Monitoring the stock levels of stationary and re ordering when required

Recording and typing up minutes of office and team meetings

Doing the daily post office run if required

Opening and directing incoming mail

Assisting with organisation of client talks and events

Typing up documents
